One thing that companies that opt for manual data conversion need to be aware of is data entry errors. Working long hours copying data from one system to the other can be very tiring. If there is a deadline on top of that, you are almost asking for mistakes to be made. If you choose to do manual data conversion, you need to ensure that there are quality control procedures in plact to verify the accuracy of your data.

Electronic Data Conversion: Likewise, electronic data conversion is pretty self-explanatory. It involves using some sort of software to transfer the data from your old system to the new one. Follow up training is equally as important, but can be done using a combination of phone call, online training, and on-site sessions if necessary. Learning how to use the software should be done proactively and not reactively, and ongoing training is the only way to ensure that is accomplished. This growing knowledge of how to best use the software will give your company a competitive advantage over your competition that cannot be matched.

Finally, it is always a good idea to have on-site training “refreshers” once a year, after software upgrades, and if/when you experience a high employee turnover to ensure that you don’t fall behind.

Continue Your Relationship with Your Vendor

After you go live with the new software you need to make sure that you maintain a relationship with your vendor. Talk to their development team and tell them about ways that the software can be improved. Attend conferences. In short, do anything you can to nurture the relationship you have with your vendor – it will come in handy when you really need it to.

Construction accounting is a complicated thing. The time and money that your company invests in upgrades are commitments to your long term success. Only by having a positive relationship with your vendor can you ensure that you get the most from your software for as long as possible.

Client/Server Technology Application programs are distributed by running on a personal computer. The data is on a server (mainframe, minicomputer or PC). Payroll, benefits and human resource applications are installed on PCs in the payroll and human resources departments.

Client/server applications may be comprised of a combination of these components: hardware, graphical user interface, file management system, network operating system, and communications protocol.

Data Processing Payroll and human resources data can be processed using two different methods, real-time processing and batch processing. Real-time processing allows the user to have immediate access to the data as updates are made. During batch processing, data is collected, coded in groups for processing, and returned when updates are complete. The user usually does not have access to the data while updates are made.

eEnterprise – Old Great Plains Software ERP Application Reactivation

If you remember the XXI century story about Microsoft purchase of Great Plains Software – this is where eEnterprise, that was the last GPS ERP name invention ceased to exist in its MRP name consistency. Great Plains eEnterprise was renamed into Microsoft Business Solutions Great Plains Professional, later on in September 2005, Great Plains was renamed into Microsoft Dynamics GP. But anyway, if you or your company had hard time back in earlier 2000, then you might be on Great Plains eEnterprise or Great Plains Dynamics for Microsoft SQL Server versions 6.0 or 7.0. Let’s review eEnterprise upgrade and walk away paths:

1. DB Platform. eEnterprise was available on Microsoft SQL Server only, so more likely you are on Microsoft SQL Server 7.0 or even MS SQL Server 2000. So, considering the fact that high-end version of Microsoft Dynamics GP 10.0 or 9.0 is available on MS SQL Server 2005 and 2000 only – from DB perspective there are no challenges

2. GP Licenses and MBS Great Plains annual enhancement program status. Well, considering the fact that you are supposedly still on GPS eEnterprise ERP version, chances are high that you lapsed in Microsoft Business Solutions GP annual enhancement program. If our assumption is correct, then you will have to contact you Microsoft VAR to understand your annual enhancement reactivation options. If you have no idea on what we are talking about – call us

3. eEnterprise upgrade scenarios. If you are on Great Plains Software eEnterprise, more likely you have more than 10 Great Plains system manager users and so, you are valuable customer (meaning that you are large or mid-size business from the ERP perspective). If you didn’t downsize in 2001-2004, then your upgrade path is to Microsoft Dynamics GP Professional

4. Microsoft Dynamics C/S+. This is the predecessor of eEnterprise, C/S+ versions were 5.5, 5.0, 4.0 and 3.2. Those days Microsoft SQL platform was in the formation stage, so your version might be MS SQL Server 6.0 or alternative DB platforms: Btrieve or Ctree/Faircom. Your migration path is likely to be to Microsoft Dynamics GP Professional as well. If you are on non Microsoft SQL Server DB platform – you will need to migrate to MS SQL Server. The migration tool is available fro Microsoft Business Solutions, however it is not trivial and we recommend you to deploy GP technical consulting firm to do migration and version upgrade job.

5. Great Plains Dexterity customizations for eEnterprise. Dex programming was very popular in late 1990th, and this is not a surprise if you have Dex altered Dynamics business logic. Please review you Dynamics.set file to figure out if you have Dexterity custom logic and if so, try to find Dynamics.dic with your Sanscript scripts in not stripped out

6. eEnterprise custom reporting. The most likely you have GP ReportWriter modified reports: SOP Long Invoice or Blank Form, POP Purchase Order. RW is in fact Dexterity module and reports migration and upgrade require Dex architecture expertise and software development experience.

7. Dinosaur versions of Great Plains. GPA for DOS, MS Windows or Macintosh were discontinued to support in earlier XXI Century. If you are still on one of those, you got to consider walk away migration option: to Microsoft Dynamics GP would be the natural way, however you may theoretically migrate to Oracle, Sage, PeopleSoft, JDEdwards, Scala, or other ERP application

8. GP Licenses. You are probably familiar with ERP industry rules – besides initial MRP application purchase you have to be current and pay annual fee for ERP enhancement program. You are lapsed in enhancement program, you should expect re-enrollment fee. 9. Dex Customization upgrade. If you have custom Dex logic in your eEnterprise installation version, you should not assume that modified logic update will be automatic. Typically Dexterity developers and programmers need to be involved to estimate upgrade efforts

10. Crystal Reports and Microsoft SQL Server Reporting Services SRS vs. Great Plains ReportWriter. RW is Microsoft Dexterity module, so you should not expect miracle from Report Writer interface. If your company deploys Microsoft Great Plains as corporate ERP, at some day you will come to this IT routine on how to migrate your accounting/MRP system from one physical computer to another. As IT person you may or may not have a lot of GP architecture knowledge, this is why we would like here to orient you in this subject of transferring. We would like to stress here, that this routine of transfer typically is something that should be done by professional consultant, so you do not have us responsible for consequences if you have complications: customization, reports modification, complex integrations to name a few

o Great Plains Architecture. Microsoft Dynamics GP is MS SQL Server based application. GP workstation connects to SQL database via ODBC, this means that when migration is done, you should update ODBC connection settings to point out to new SQL Server

o GP Security Model. This is the most important part in understanding the migration scenario. Great Plains initially targeting multiple database platforms: Pervasive SQL/Btrieve, Ctree/Faircom, and MS SQL Server plus several networking platforms, such as MS Windows, Novell and Macintosh – and by doing so – it doesn’t use Windows Domain logins or even SQL Server logins. Instead it uses it own security model, built in DYNAMICS database. When you are done with SQL installation (don’t alter sorting options), you will need to install Microsoft Dynamics GP with empty companies with the same companies databases ID (where you used similar GP account structure segmenting – this is technically not required, but will make your life easier, if something goes wrong)

o Now security transfer surgery. If you feel that you are very strong with DTS – you may use this tool. If you are not at this level of SQL DB administration, please login to GP customer source and find current techknowledge on users logins transfer from one SQL server to another.
